What is the ROI of Microsoft Teams Rooms?

The ROI of Microsoft Teams Rooms comes from five measurable levers rather than a headline percentage: minutes recovered at the start of every meeting, utilisation data that lets you run fewer rooms, fewer support tickets and engineer visits, standardised hardware, and travel avoided. Measure those against £8,000 to £20,000 per standard room installed plus about £36 per room per month for Teams Rooms Pro; the arithmetic turns on whether the rooms are actually used.

The five levers

  • Meeting start time. A laptop-and-cable room routinely loses 3 to 8 minutes per meeting to the cable, the adapter and the audio device; one-touch join cuts that to under a minute. Easiest to measure with a stopwatch, usually the largest.
  • Utilisation data. Pro reports bookings against actual occupancy, the evidence for merging or releasing rooms at the next fit-out; see how to get utilisation data from your meeting rooms.
  • Support load. Certified, monitored rooms raise fewer tickets, and the Pro Management portal flags an offline console before the 9am meeting, which removes the costliest line in any support contract: site visits.
  • Standardisation. One hardware family, one firmware ring and one console layout cut training, spares and diagnosis time.
  • Travel. A boardroom that works for hybrid board meetings replaces some journeys; model it per organisation rather than assume it.

Illustration only, inputs shown so you can substitute your own: 10 rooms, 4 meetings a day, 5 minutes saved per meeting, 4 people in the room, a blended £40 an hour, 230 working days.

  • Time recovered per day: 10 rooms x 4 meetings x 5 minutes x 4 people = 800 person-minutes, or 13.3 hours.
  • Value per day: 13.3 hours x £40 = about £533.
  • Value per year: £533 x 230 days = about £123,000 of staff time.
  • Cost: 10 rooms x £12,000 (mid-band) = £120,000 installed, plus Pro at £36 x 10 x 12 = £4,320 a year, plus support at £150 to £600 per room per year.
  • Payback on the time lever alone: roughly 12 to 13 months, with utilisation, ticket and travel savings on top.

The saving is staff time, not cash, so present it that way. Halve the meetings per day and payback doubles; an empty room returns nothing. The ROI measurement checklist sets out what to baseline before installation. Room costs by size are on the Microsoft Teams Rooms page; the same levers apply to any native video conferencing system.

Quick reference: levers are meeting start time (3 to 8 minutes a meeting), utilisation data from Pro, fewer tickets and site visits, standardised hardware and avoided travel; measure against £8k-£20k per room plus about £36/room/month Pro; 10 rooms at 4 meetings a day and 5 minutes saved returns roughly £123k a year of staff time.
