How do I reduce no-shows in my meeting rooms?

Reduce meeting room no-shows by combining auto-release on the booking platform with check-in at the room and occupancy sensors that confirm someone actually arrived. A typical office runs at 30 to 45% no-show or ghost meeting rates before any policy is applied; 5 to 10% is achievable once the tooling and rules are in place.
The tactics that move the number, in priority order:
- Auto-release after 5 to 10 minutes of no check-in. Robin, Smartway2, Eptura, GoBright and Microsoft Places all support this. The booking is cancelled and the room returns to the pool automatically.
- Require check-in via the room panel or the booking app. A QR scan, NFC tap or panel button is enough. No check-in inside the window means no booking.
- Pair the check-in with an occupancy sensor. A PIR or time-of-flight sensor confirms a body in the room, so the platform doesn't accept a check-in tap from someone who walked past on the way to a different room.
- Set booking limits per user. Cap concurrent bookings or weekly room-hours so habitual blockers can't hold three rooms "just in case".
- Hard cancel for serial offenders. Some platforms surface a "frequent no-show" report; HR or workplace teams can intervene with the worst offenders.
- Publish utilisation dashboards. Visibility on who books and ghosts changes behaviour faster than any email policy.
The mechanics live in the room and desk booking software, but the sensor layer is what stops users gaming the check-in. Without occupancy confirmation, a user can tap "I'm here" from the corridor and keep the room booked for the day. With it, the occupancy analytics only count the room as held when a body is in the chair.
