What meeting room AV do corporate headquarters need?

Last updated:

Corporate HQ meeting room AV is a standardisation play across 50 to 200+ rooms spread over multiple floors, anchored on two or three room standards repeated estate-wide rather than 100 bespoke designs. The win is choosing the room types deliberately, then specifying each one once and deploying it everywhere it fits.

The typical HQ template lands on three core types: huddle rooms (4 to 6 people, single all-in-one VC bar, one display, BYOD), standard meeting rooms (8 to 12 people, native VC system on the mandated platform, dual displays optional, ceiling microphone in larger rooms) and the executive boardroom on the partner or exec floor (20+ capacity, twin large displays or fine-pitch LED, ceiling array microphones, custom Crestron or Q-SYS programming, joinery integration). Many HQs add a fourth and fifth template for training rooms and the town hall / all-hands space, both of which need divisible-room AV modes and presenter-led layouts.

Agile working pressure shifts the room ratio. A flagship HQ moving to a 0.7 desk-to-headcount ratio sees demand spike for huddle rooms and phone booths (single-occupant acoustic pods with a small monitor and platform-agnostic audio), often outnumbering traditional 8-person rooms two to one. Plan the ratio with the workplace strategy team before fixing the room schedule.

Distribution and control are where HQ scale starts to differ from a single-floor office. AV-over-IP (Crestron NVX, Q-SYS NV-32-H) routed from a central rack room into every meeting room collapses cabling, simplifies maintenance, and lets the boardroom recall any source from any floor. A branded touch panel UI, custom-skinned with the company logo and consistent button language, makes 100 rooms feel like one estate. Design these into the HQ AV brief at RIBA Stage 3, not after Cat B fit-out has started.

Programme phasing for the AV layer of an HQ Cat B fit-out runs 16 to 32 weeks typically, sequenced behind ceilings, joinery and power. Standardised meeting room rollouts deploy faster than mixed-spec estates because commissioning and user training compress to one repeated process.

Quick reference: two or three room standards (huddle, standard, boardroom; possibly + training room + town hall), 50-200+ rooms typical, AV-over-IP from central rack room, branded custom touch panel UI, AV layer 16-32 weeks within Cat B fit-out programme.
