How do you keep AV standards consistent on multi-site UK rollouts?

Last updated:

Consistent AV across a multi-site UK rollout comes from templating the rooms, centralising the code, and naming a single owner for the programme. Variation creeps in when each site is treated as a one-off; standardisation is a deliberate design choice made on day one.

The pattern that works on 10-site and 50-site UK rollouts:

  • Two or three room templates, not 20. Most estates need only a huddle, a standard meeting room, and a boardroom template. Specials (executive suites, training rooms, town halls) live outside the templates and get bespoke design.
  • Pilot one of each at site 1. Build a huddle, a standard and a boardroom at the first site, run them in service for 2 to 4 weeks, refine, then phase the remaining sites against the refined spec.
  • Single programming codebase, deployed identically. Crestron, Q-SYS or Cisco programming is written once, version-controlled, and pushed to every room. Local edits are banned; if site 7 needs a tweak, it goes in the master and rolls back out.
  • One named project manager owns the programme end to end. Not a different PM per site, not handovers between regions. Single point of accountability from kick-off to acceptance.
  • Centralised commissioning and remote acceptance testing. A senior engineer signs every room off remotely against a fixed checklist, with on-site engineers running the test script. Removes the "it worked on the day" failure mode.
  • Mixed local and travelling engineer pool, same training and certifications. Whether the engineer is based in the South East or local to a regional site, they hold the same certifications (Crestron, Cisco, Logitech, Q-SYS) and follow the same install method statement.
  • One asset register and one documentation set per estate. Live in a shared system, not spreadsheets on a SharePoint folder per region. Every device, MAC, firmware and licence visible in one place.
  • One SLA covers all sites. Lifecycle support, helpdesk routing, monitoring thresholds and quarterly health checks apply equally to Manchester, Bristol and London.

In practice, the work that holds this together is the project management discipline more than the technology. A coherent room template applied across 50 UK sites is worth more than a marginally smarter spec applied inconsistently.

Quick reference: 2-3 room templates, pilot at site 1, single programming codebase, one named PM, centralised commissioning + remote acceptance, certified engineer pool, one asset register, one SLA covering every site.
