How do we switch AV support provider?

You can switch AV support provider at your contract break or renewal, and a good incoming provider will take on your estate even if it did not carry out the original installation. The transition is straightforward: the new provider audits and documents what you have, takes ownership of monitoring and the helpdesk, and puts a clear SLA in place, with little or no disruption to the rooms themselves.
From the floor. The one thing that catches people out when they switch is credentials. If the outgoing integrator holds the admin passwords, the touch-panel programming and the room configs and will not hand them over, the new provider has to rediscover the estate the hard way. Ask for the asset register, the config backups and the admin accounts as part of your exit, ideally before you give notice. Get that right and a switch takes weeks, not months. — Mark Brooks, Commercial Director
The practical steps are: check your current contract for the notice period and break date; ask the incoming provider to run a site survey and build an asset register (make, model, firmware and licence status for every room); transfer administrative access, configuration backups and any manufacturer portals; and agree the new SLA, monitoring and escalation path before go-live. A capable support partner will handle a mixed estate from several original installers, standardise the documentation, and start proactive monitoring so faults are caught centrally rather than left for users to report.
You do not need to have used the incoming provider for the original install. Independent AV support is common, and taking over a third-party-installed estate is routine work: the provider surveys, documents and stabilises the rooms, then manages them through their lifecycle. The main thing to protect is a clean handover of documentation and access, which keeps the switch quick and avoids paying twice to rediscover your own estate.
Quick reference: switch at your contract break; get the asset register, config backups and admin access handed over; the incoming provider surveys, documents and takes over monitoring, even on third-party installs.
